Members Present: Marge Applegate, Pat Blake, William Bosron, Mary Grove, Giles Hoyt, Carlyn Johnson, Art Mirsky,
Members absent: Nick Kellum, Walter Linne, Rose Mays, Shirley Newhouse, Leon Rand, Rebecca VanVoorhis, Rosalie Vermette, Jeff Vessely.
Guest: Golam Mannan

Call to Order: President Bill Bosron called the meeting to order at 10.03 am

Minutes: There was a correction to the minutes of Sept. 8, 2011. The meeting place was Park 100, not the Glendale Library. Motion to approve the minutes of Sept. 8, 2011 as corrected (Mirsky/Blake). Motion carried.

President’s Report: William Bosron

President Bosron reminded Board members that Dottie Swinney will retire at the end of October.
 A reception to honor Dottie’s work and to express our gratitude to Dottie will occur on Friday, Nov. 11, 2011 in the Senior Academy room 264 @ the Student Center from 3-5 pm.
 Harriet Wilkins is organizing food and beverages and perhaps a sip of wine.
 Sue Herrell is having invitations made and will alert AO and special guests. Walt Linne will provide a Senior Academy e-mail/mail list to Sue.
 President Bosron asked for Board approval for related expenses: Motion to approve related expenses (Mirsky/Blake) Approval granted

Dottie’s Replacement:
 The academy secretary position falls under Dean Sukhatme’s office with Sue Herrell as the responsible administrator.
 Sue recommended Lee McLaughlin for the position. Lee retired from University Library in 2007. She was recommended by several people. Bill both talked to and met with Lee and the recruitment was finalized yesterday (Oct 12).
 Lee will work from home when possible and come into the office 1-2 days per week (probably Wed and/or Fri) as needed. She will meet at AO with Bill or other members of the board to work on projects as needed. She will begin the last week in October to allow some overlap with Dottie.
 Dean Sukhatme and Sue will provide a new laptop computer for Lee as well as access to shared computer storage, printer and copier. It is likely that Lee will be in the “fellows” room at AO. Sue Herrell will reserve the room for the 1-2 mornings per week that Lee uses it. The Senior Academy phone number will need to be transferred to that room.
 Bill will invite Lee to a meeting so that we may all meet and welcome her.

Replacement for Treasurer:
 Lee Rand has reported that he and his wife are moving to the Chicago area. While he has enjoyed serving as our Treasurer, it seems a long commute, so he respectfully requests to be replaced.
 According to the by-laws the Nominating Committee is charged to nominate a replacement and the Board to vote to fill the unexpired term. Bill asks that Walter Linne convene the Nominating Committee for a recommendation. The committee will welcome suggestions.

The Plaques:
 Bill was pleased to report that the Last Lecturer plaque and the Bepko Medallion plaque have been mounted in the Senior Academy room at the Student Center.

United Way:
 We have received 16 contributions thus far for United Way in the amount of $7,215. At this time in 2009, we had collected $6,565, so we are ahead of pace at this time. Our total collection in 2010 was $16,080 and we are at 45% of that goal. Of course, we would like to exceed that goal. The campaign ends at the end of October.
 There are some problems with attributing Senior Academy contributions correctly and we have alerted Jana Hill to the issue. Dottie is following it closely.
 We sent a mailing out to Academy members with forms, a return envelope and a brochure.
 A list of all IUPUI retirees as well as Academy members was reviewed. Bill prepared an e-mail for all retirees and gave it to United Way for distribution. United Way says it went out, but no Board members received one. Efforts to follow up on this issue will continue.

Dues Update:
 Bill reported that we sent out 192 letters for dues. So far, we have received 116 yearly and 5 lifetime responses. This is a fine response.
 A follow up reminder will be sent out soon.
 We have 352 members – 160 lifetime members.
 Bill will attend the School of Science retiree project to introduce the Senior Academy to the group. Perhaps we could get other schools to include us in group retiree events.

Treasurer’s Report: Leon Rand

 Leon could not be with us today, but he sent out the reports for both August and September.
 The data will be attached to these minutes, but the report will be given and acted upon at the next meeting. Please bring these minutes with you to the next (Nov) meeting so that you will have the data. October data likely will be sent out before the next meeting.

Committee Reports:

Program Committee: Carlyn Johnson
 Carlyn noted that the technology program for October was very well attended and well received. The Library faculty and staff did a wonderful job. Feedback has been very positive. The handouts were helpful and much appreciated.
 Bill noted that Kent Sharp attended the workshop and he recommended that we might want to form a computer interest group of people who want to help one another using various computer programs, help solve computer problems and/or learn new things. Options discussed were:
o Set it up and meet at Park 100 for convenience and ease of parking.
o Set up an “on call” system so people can seek help as needed
o Repeat technology sessions as a program each year. We could do updates or special programs.
o The group liked the last option the best. They felt structure would tend to create better attendance and more focus which tends to increase interest. Some had past experience with informal efforts and they tended to fade.
o Bill will talk with Kent to see if this (annual technology sessions) is possible.
 Carlyn updated the group on programs/social events to come;

o February 2012 – precise date and location TBA: Program: Hearing Loss and Hearing Aids
o Wednesday, February 1, 2012 – 5:30 pm @ The Den Social Event: Informal dinner followed by attendance at an IUPUI basketball game – IUPUI vs. Oakland
o Friday, March 28, 2012 – 2:00 pm – Location TBA. Event: The Last Lecture followed by a reception.
o April 2012 – precise date TBA – Location TBA Event: Senior Academy Annual Meeting.It was noted that previous annual meetings have occurred in mid to late May or early June.
April is often a difficult time for this meeting due to many conflicting commitments. Dean Sukhatme’s schedule will influence the date. Bill will check on the Dean’s schedule.

Last Lecturer Committee: Golam Mannan
 The Last Lecture will occur on March 28, 2011 at 2:00 pm – Location: TBA
 Golam reported that we cannot hold the lecture in the Student Center as it is booked. He has put a hold on the Herron auditorium and is looking into the Hotel Conference Center auditorium. Cost will be considered in the decision. He said he should find out today which place will work best and is available. He will communicate the decision to Carlyn Johnson.

Old Business:

Giles Hoyt – Web site:
 Giles said he would post data regarding new events on the web site.
 He also noted that the Formidable Program is being added to the web site and that will facilitate our doing forms and surveys. Formidable is an “add on” to Word Press.
 Jim Brown is helping Giles refine our web site for which we are all grateful.
