Meeting Minutes
November 19, 1997


The meeting was called to order at 9:20 a.m. with Chris Long presiding.

Chris Long stated that the minutes for Sept. 17, 1997 will not be approved at this time. Anyone who has suggestions for additions and/or corrections should e-mail Minde Browning. These minutes will hopefully be approved at the Feb. 18, 1998 meeting


Announcements

  1. Julie Fore reminded everyone about the e-mail migration at IUPUI. This migration is not optional--one will not receive mail after Jan. 31, 1998 if they have not migrated. UITS will offer classes for this migration, and they will assist with hands-on migration if needed.
  2. Julie also stated GTO (Generic Transfer Overlay) will probably not be available after Thanksgiving. Joetta Black from the Main Library, Bloomington, will give a demonstration on CLARR, and training on how to use this system at 10:00 a.m. on Nov. 21 in Room 318 of the Ruth Lilly Medical Library (RLML). CLARR hopefully will replace GTO functions.
  3. Julie Fore mentioned that the Indiana Chapter of ASIS will have an informational meeting on Dec. 3 at the Uptown Cafe in Bloomington, beginning at 6:30 p.m. (with dinner at 7:00 pm.) Debra Shaw and Steve Hardin will speak. Julie will post information about this meeting on the LIBFAC listserv; non-members are welcome to attend. This ASIS web site is: www.asis.org.
  4. Kellie Kaneshiro stated that the Indiana-SLA will host a hospitality booth at the Special Libraries Association Annual Meeting, to be held June 6-11 in Indianapolis. Volunteers are needed to man the booth; Kellie will distribute flyers about this volunteer opportunity.
  5. Kellie also announced that the SLA t-shirt drawing winner was Suzanne Thorin.
  6. Nancy Eckerman announced that she will give a presentation on Dec. 4 in the RLML, as part of a grant, entitled, "The Story of Medical Licensing in Nineteenth Century Indiana." Flyers are available.
  7. Fran Brahmi stated that the Ruth Lilly Medical Library is selling mugs for $3 apiece. These mugs are spill-resistant, and will be allowed in the library. They will save on upholstery and carpet cleaning expenses.
  8. Jennifer Hehman announced that the Annual Herron Pottery Sale will be held Dec. 5-6 in the Museum Building Auditorium. Proceeds from the sale will go toward supplies and scholarships for Herron ceramic students.

Director's Reports

Dental Library: no report.

University Libraries: Dolores Hoyt mentioned that Philip Tompkins is working diligently on the renovation project for Herron, especially the library portion.

Law Library: no report.

Medical Library: Dana announced that OVID now has 82 full text journals, which are offered to the whole Indiana University community. It is a stable system. Two sets, nursing and mental health journals, are financed by the IUPUI University Library.


Committee Reports

IUPUI P& T: Fran Brahmi continues to serve on the IUPUI Faculty Promotion and Tenure Committee. The next meeting of the committee will be Dec. 5. Anyone who has concerns should contact Fran.

IULFC: Several issues will be raised at the next IULFC meeting. Most problems and comments have been answered. The issue concerning the chair of the Faculty Review Board will be put on the agenda. Ongoing review comments will be put on the IULIB-L listserv. The URL for IULFC meetings will be forwarded to the IUPUI Library Faculty. Chris Long will be the secretary of IULFC for 1998-1999.

Nancy Eckerman will be chair of the Indiana University Librarians Promotion and Tenure Committee beginning in 1998. If there are any concerns about the P & T Committee, please contact Nancy.


Old Business

IUPUI Faculty Council Executive

Council Nancy Eckerman announced that Bill Orme has resigned from this council. Currently, there is no librarian on the Executive Council.

Post-Tenure Review

The IUPUI Faculty Council and the University Faculty Council are engaged in discussion on this issue. Dolores Hoyt will forward any comments to the UFC. The IUPUI Library Faculty is preparing a response on the matter. A meeting on post-tenure review will be held Fri., Nov. 21. New Business

  1. Joe Harmon stated that IUPUI University Library has received the beta software for Horizon for the Windows platform, but it has not been tested.
  2. Dolores Hoyt announced that she is one of the representatives to the OCLC Users Council from INCOLSA. Minutes from the Council are available on INCOLSA-L, and she will forward them to the LIBFAC listserv is there is enough interest.
  3. Jim Baldwin revealed that there are major problems with indexing on Horizon. Any comments on indexing should be forwarded to Randi Stocker or other members of the Horizon Opac Working Group.

The meeting was adjourned at 10:10 a.m.
