TECHNOLOGY AND RECRUITING
Institutional Websites:
Ø May contain information related to the institution’s athletics programs.
Ø May not include hyperlinks to noninstitutional publications/recruiting services.
Ø May not include recruiting related video clips except as permitted under Bylaw 13.4.2.
Camp and Clinic Websites
Ø Should conform to content specifications in Bylaw 13.4.
Ø Camp and Clinic promotional materials involving student-athletes with eligibility remaining are subject to the restrictions in Bylaw 12.5.
Audio/Video Materials
Ø An institution may not produce a video/audio material to show or send to a prospect.
Ø Exceptions: (see Bylaw 13.4.2.1)
- Highlight Film/Videotape/Audiotape.
- Nonathletics materials available to all students.
- Hall of Fame/Museum Video/Audio tape.
Videoconference/Videophones (Permits face-to-face Interactive Communication)
Ø Counts as in person off-campus Contact for that PSA. Must occur during a permissible Contact Period.
Slide Presentations (Computer-generated slide presentations .)
Ø Not permissible.
Internet Voice Talk (Permits individuals to conduct real time voice conversations through the Internet. Requires special equipment.)
Ø Considered a telephone call – subject to all applicable restrictions.
Electronic Mail (E-mail) (A service provided through the Internet that allows information to be sent to another person or a list of people.)
Ø Is considered general correspondence subject to all applicable restrictions.
Ø May include color attachments.
Electronic Greeting Cards (An institution may not provide greeting cards to a PSA or a PSA’s coach.)
Ø Electronic Greeting Cards also may not be provided to a PSA or a PSA’s coach.
Online Notecards (General correspondence, including letters and postcards issued by the U.S. postal service and institutional notecards may be sent to a PSA.)
Ø Online notecards may only be provided to a PSA if considered to be an institutional notecard.
Message/Bulletin Boards (Electronic message system that permits individuals to read and post messages on the Internet.)
Ø Considered general correspondence subject to all applicable restrictions.
Chatrooms/Instant Messenger (An interactive means of electronic communication.)
Ø Counts as a telephone call.
Pagers
Ø The use of a pager is considered a telephone call.
Ø If a pager permits a text message to be displayed, an institutional coaching staff member who leaves a message in excess of a greeting is considered to have made a telephone contact.
Media Guides/Recruiting Brochures
Ø An institution may produce a media guide/recruiting brochure in printed form and in electronic form provided:
- the information contained within both publications is identical
- (i.e., the electronic version may not contain video/audio clips and must contain only one color of printing within the covers.)
Electronic Business Cards
Ø An institution may provide a PSA with an electronic business card provided the business card does not contain video/audio clips.
Other Electronic Publications
Ø An institution may provide non-athletic official academic admissions and student-services electronic materials produced by the institution and available to all students.
Non-Institutional Publications (Athletics department staff may not endorse a noninstitutional publication dedicated primarily to reporting on an institution’s athletics activities.)
Ø Institution’s website may not include hyperlink to a noninstitutional publication.
Ø Noninstitutional publication may advertise on institution’s website.
Boosters and their Websites
Ø Boosters may not contact PSA’s for information.
Ø Establishing a website does not automatically categorize an individual as a media entity.
Ø Boosters may only post information available to the general public.
Ø A Booster who works with a media entity may contact PSA’s only through a normal working relationship and not for a recruiting purpose.
Online Recruiting Services (Athletics department staff may not endorse or serve as consultants for a recruiting/scouting service.)
Ø Institution’s website not include a hyperlink to a recruiting/scouting service.
Ø An institution may not advertise on a recruiting/scouting service’s website.
Ø Institutions may advertise camps or clinics on a recruiting service’s website provided:
- the advertisement format is identical;
- the camp directory includes multiple listings.
Ø Note! The half page size restriction applicable to print advertisement is not applicable to advertisements placed on the Internet.
The Alert Form is an Official Department of Intercollegiate Athletics document. ONLY Coaching Staff members should complete and submit this form. Alert Form is to be submitted on all Recruited PSA’s (at the point recruitment commences) and any new Student-Athlete who would appear on a Tentative Roster.
