    Section 11 - STUDENT-ATHLETE EXIT INTERVIEWS

11.1 Purpose of Student-Athlete Exit Interviews

Each year, Division I institutions are required by NCAA regulations to interview student-athletes in all sports who will no longer be participants in the IUPUI athletics program. The purpose of the interview is to find out how student-athletes perceive their experience at the institution. The actual responses on the exit interviews will be kept confidential, to be read only by the Director of Athletics, Assistant Director of Athletics/SWA, and the Faculty Athletics Representative (FAR). The information will be discussed in general terms with the Athletics Advisory Committee (AAC). The information obtained from the exit interviews will be used to help determine the strengths and weaknesses of the IUPUI programs and to help decide where changes and/or improvements should be made.

11.2 Identification of Student-Athletes for Exit Interviews

Student-Athletes Who Have Exhausted Their Eligibility

The names of those student-athletes who will exhaust their eligibility during the current academic year will be provided to the Assistant Director of Athletics/SWA by the Compliance Coordinator. The Assistant Director of Athletics will arrange an exit interview at the end of each sport season for each student-athlete who has exhausted eligibility in his or her sport.

Student-Athletes Departing a Sport Prior to Exhausting Eligibility

Upon being notified that a student-athlete has left a team via the “Drop from Roster” form, the Assistant Director of Athletics/SWA will arrange an exit interview with the student.

Prior to providing written permission for a student-athlete to talk to another institution about a possible transfer, the student-athlete must complete the exit interview process. Upon completion of the exit interview process by a potential transfer, the Assistant Director of Athletics will notify the Director of Athletics that the exit interview has been completed

Procedures to Appeal the Decision to Deny the Transfer Request

Decisions to deny a transfer request may be appealed by the student-athlete upon receiving formal notification from the athletics department announcing the denied transfer request. If the student-athlete disagrees with the facts or justification contained in the formal notice and desires to submit an appeal, this appeal must be submitted in writing to the Eligibility Committee Chairperson within 30 days from the date contained on the original formal notification.

This written appeal, and any supporting documentation supplied by the student-athlete, will be reviewed by The Eligibility Committee. Following this review, a written decision is normally provided to the student-athlete within 30 days.

11.3 Student-Athlete Exit Interview Procedure

An exit interview questionnaire will be mailed to each student-athlete who has exhausted eligibility at the conclusion of his or her sport season. The student-athlete will be asked to complete the questionnaire and return it to the Assistant Director of Athletics. Student-athletes who have exhausted eligibility will also be offered the opportunity to meet in-person with the Director of Athletics and Assistant Director of Athletics/SWA to discuss their IUPUI athletics experience. Completion of the exit interview questionnaire is mandatory; a student who fails to return a completed questionnaire to the Assistant Director of Athletics within a specified period of time will be placed on administrative checklist. The in-person meeting with the Director of Athletics and Assistant Director of Athletics is encouraged but is not mandatory.

The student-athlete will be asked to complete the questionnaire and return it to the Assistant Director of Athletics. Student-athletes who quit the team will also be offered the opportunity to meet in-person with the Assistant Director of Athletics/SWA to discuss their IUPUI athletics experience. Completion of the exit interview questionnaire is mandatory; a student who fails to return a completed questionnaire to the Assistant Director of Athletics within two weeks will be placed on administrative checklist. The in-person meeting with the Assistant Director of Athletics is encouraged but is not mandatory.

Data received from all exit interviews conducted during the academic year will be compiled by the Assistant Director of Athletics/SWA and formally submitted to the FAR for review by the Athletics Advisory Committee. Sport specific data will be shared with the Director of Athletics only.
