June 1 Deadline Report
Having just finished the June 1 deadline, we want to thank those investigators and administrative staff who got their proposals in early and assisted us through this very busy time. In all, 96 proposals with a June 1 deadline were processed, 65 of which were new or competing applications. A special thanks to those 15 investigators who took advantage of our new partial proposal routing process (more details below) which offers additional flexibility to those individuals who need extra time to work on their proposals.
July 1 Deadline

The July 1 deadline promises to be just as busy as June. Proposals should arrive at least three (3) full working days (by June 28th) prior to the agency deadline date to allow proper review and time to deal with any necessary changes.

Our continued commitment is to ensure that all proposals make it to the sponsor on time. This commitment may require that proposals not received three working days before the sponsor deadline are submitted without review. The proposal will be fully reviewed at a later time and you will be notified of any discrepancy and we will discuss with you any material corrections that will need to be addressed. Of course, the disadvantage of submitting proposals without review is that such corrections usually involve more work and proposals with errors don’t reflect well on the researcher or the institution.
New Alternatives for Avoiding the Last Minute Rush

For those investigators needing additional flexibility, we are committed to finding new alternatives for proposal submission.

Review of preliminary budgets
Preliminary budgets and justifications may be sent to rspinfo@iupui.edu. If workload allows, the budget and justification will then be reviewed and “pre-certified”. Any corrections or concerns regarding the budget will be sent via e-mail to the investigator or administrative staff denoted in the request. Upon receipt of the fully completed proposal, a cursory follow-up examination of the budget and justification will be performed. If this process is utilized and significant changes are made to the budget after the pre-certification, we ask that you simply note this on the route sheet so a more thorough review can be done prior to submission of the proposal.

We will attempt to be accommodating to all requests, but if time does not allow for a pre-certification, the requestor will be contacted and asked to move forward with the partial or full proposal submission process.

Partial Proposal Routing Process
The partial proposal routing process is one option that many investigators are choosing to take advantage of. The partial proposal routing involves the submission of the following:

  • Routing sheet with required signatures, marked as a partial proposal
  • Any assurances and certifications required by the agency
  • Any required agency specific forms which include institutional information
  • All budget pages
  • Budget justification

If possible, subcontractor documentation and cost share documentation should be provided at this time as well.

Partial proposals should be received five (5) working days prior to the deadline. In the event that a partial proposal is completed and available for routing but does not meet the five (5) day guideline, please contact Michelle Artmeier at 317.278.8644. If workload allows, the partial proposal will still be accepted.
